Case Study – Modernizing Hospital Billing System: Caduceus Inc.
Cadeucus Inc.
How we helped
Caduceus Inc., a multi‑facility healthcare organization, handles billing for multiple service lines under a single corporate umbrella.
Over time the company’s core billing systems, GE Centricity Business and Laserfiche, became outdated, leaving staff reliant on manual work‑arounds and exposing the organization to compliance risks.
When the COVID‑19 pandemic prompted a sudden shift to remote work, the old systems could not scale to support a distributed workforce. Moreover, the departure of the previous CIO led to hasty decisions that replaced an automated SOC 2 documentation tool with manual processes and brought in a managed service provider whose monitoring platform generated costly false alerts.
Business Automation Experts (BAE) partnered with Caduceus to modernize the billing environment. By upgrading Laserfiche, migrating GE Centricity Business from version 4 to version 5 and implementing a new network architecture, BAE enabled secure remote access, eliminated legacy dependencies and reduced operating costs. The solution also introduced ticket classification to curtail MSP billing and rebuilt compliance processes to meet SOC 2 requirements. The result: a resilient billing platform that supported remote operations during the pandemic while unlocking long‑term scalability.
Project Overview
Client Context
Caduceus’ billing department processes thousands of claims daily for emergency, radiology, outpatient and surgical services. The organization uses GE Centricity Business for accounts receivable and Laserfiche for storing billing documents.
Prior to BAE’s engagement, these systems were several releases behind and were hosted on ageing servers without formal redundancy or remote access. The technical debt accumulated over years of incremental customization. When a new CIO attempted to “revolutionize” IT, he decommissioned the automated SOC 2 documentation tool and introduced a managed service provider (MSP) to handle endpoint security. The changes created new problems: policies had to be rewritten, manual meeting minutes replaced automated controls and the MSP’s ticketing system generated hundreds of false alerts following patch releases. The MSP billed Caduceus per ticket, but the client had no visibility into closed tickets or a way to distinguish real issues from noise. Meanwhile, the pandemic forced billing staff to work from home on a network ill‑equipped to support them.
Business Challenge
BAE’s discovery highlighted five key challenges:
-
Legacy software and unsupported hardware – Laserfiche and GE Centricity Business were out of date. The client’s Laserfiche installation was several releases behind and lacking vendor support; GE Centricity Business v4 was approaching end‑of‑life. Servers were running legacy Windows operating systems and could not be patched without breaking the applications.
-
Limited remote access – The network was designed for on‑premises work. VPN connections were slow and unreliable, leaving remote staff unable to access billing data consistently. Remote work became mandatory during COVID‑19, highlighting the system’s inadequacies.
-
Fragmented compliance processes – The previous CIO’s decision to drop automated SOC 2 controls. Policies referencing the previous system had to be rewritten, meeting minutes manually captured, and evidence stored in ad‑hoc folders. The risk of non‑compliance grew.
-
Costly and noisy MSP ticketing – The new MSP’s monitoring tools generated a flood of alerts whenever a patch was released. Tickets were auto‑closed without client review, yet Caduceus was billed for each one. The finance department needed a way to classify tickets and dispute charges for false positives.
-
Integration and data integrity risks – Custom scripts linked GE Centricity to Laserfiche and other systems. The upgrade to GE Centricity v5 required careful data migration and testing to avoid service interruptions.
Solution
BAE designed and implemented a comprehensive modernization strategy comprising five phases.
Phase 1: Assessment and Stabilization
-
Conducted a detailed inventory of hardware, software and custom integrations.
-
Stabilized existing systems to prevent further outages during the upgrade by applying critical patches and improving backups.
-
Worked with compliance and finance teams to understand SOC 2 and HIPAA requirements and to document process gaps.
Phase 2: Laserfiche Upgrade and Workflow Rebuild
-
Upgraded Laserfiche from its unsupported version to the latest supported release, enabling vendor support and compatibility with modern Windows servers.
-
Migrated existing documents and metadata to a new repository, preserving access controls.
-
Developed electronic forms and automated workflows to capture meeting minutes and policy approvals, filling a major gap in their process. Workflows ensured documents were routed to the correct approvers, versioned and stored for audits.
Phase 3: GE Centricity Business v5 Migration
-
Re‑engineered the backend infrastructure to support GE Centricity Business v5, including upgrading SQL Server, implementing a new application server tier and refactoring custom integration scripts.
-
Used test environments to rehearse data migration and minimize downtime. Built validation scripts to compare balances and transactions between versions.
-
Integrated GE Centricity with the upgraded Laserfiche repository so that billing statements, remittances and explanation of benefits were automatically indexed and searchable.
Phase 4: Network Modernization and Remote Access Enablement
-
Redesigned the network topology to support secure remote access via VPN and remote desktop services. Added capacity and segmentation to support hundreds of concurrent users.
-
Deployed updated hardware and virtualization to increase performance and resilience. Implemented multifactor authentication to improve security.
Phase 5: Ticketing Optimization and MSP Governance
-
Analyzed MSP alert patterns and built classification rules to separate false positives from legitimate issues. This allowed finance to dispute charges for tickets generated by known patch anomalies.
-
Developed a Laserfiche‑based ticket review workflow so Caduceus staff could view, comment on and approve ticket closures. Each ticket’s status and notes were archived for future audits.
-
Re‑negotiated MSP service levels based on the new classification scheme, tying billing to validated incidents rather than raw ticket counts.
Results
The hospital billing modernization delivered quantifiable improvements:
-
Reduced expenses and technical debt – Upgrading both Laserfiche and GE Centricity eliminated costly extended support agreements and reduced the number of physical servers. Automated workflows replaced manual processes, reducing labor and paper costs.
-
Remote workforce productivity – Billing staff were able to work effectively from home during the pandemic thanks to the new remote access infrastructure. The modernized platform unlocked the potential of a distributed workforce.
-
Compliance and audit readiness – Electronic SOC 2 control documentation restored the organization’s compliance posture. Auditors were able to trace policy approvals and meeting minutes through Laserfiche workflows.
-
Lower MSP costs and improved oversight – Ticket classification reduced false positives by more than half, enabling finance to avoid paying for spurious alerts. The new workflow provided visibility into ticket closures and maintained an audit trail.
-
Enhanced performance and scalability – GE Centricity Business v5 processed transactions more quickly, and the virtualized infrastructure scaled easily to support new clinics and additional users.
Final Impact & Value Delivered
Business Automation Experts’ engagement transformed Caduceus Inc.’s hospital billing system from a fragile, legacy environment into a modern, scalable platform. By upgrading core applications, redesigning the network and re‑establishing compliance processes, BAE enabled the organization to support a distributed workforce, reduce costs and navigate the challenges of a global pandemic. The partnership demonstrates how targeted modernization, coupled with strong governance over third‑party service providers, can unlock significant operational and strategic value for healthcare providers.
